Company Overview

Blue Sky Processing (BSP) is the parent company operating two specialized divisions under one roof. Both serve the same core customer profile: QuickBooks-using service businesses with 1–10 employees. Every product and service we offer is designed to meet the specific operational needs of this segment.

Blue Sky Business Solutions (BSBS)

Payment processing with direct QuickBooks sync. An optional, discounted add-on for Blue Sky Automation customers — never a requirement. Reduces manual reconciliation and lowers processing fees.

Blue Sky Automation (BSA)

Managed automation agency built on GoHighLevel — never named externally. Sells product bundles solving specific business problems. Never sold as raw platform access — always outcome-focused.

Merchant Money Saver (MMS)

Franchise partnership program for CPAs, bookkeepers, financial advisors, and franchise partners. Currently on autopilot, pending expanded partner interest and outreach activation.

Tech Stack & Platform Costs

Confirmed monthly platform costs — verified against actual billing. Total confirmed platform overhead is approximately $1,386/month. Ad spend (~$500/mo) is tracked separately as customer acquisition cost, not platform overhead. The previous AI heartbeat loop burn rate of $840/month has been fully eliminated — current AI costs are usage-based only.

Break-Even Point

6 active accounts at an assumed $350/mo average revenue per account. See the live cost calculator for current assumptions and real-time figures.

AI Cost Model

Previous heartbeat loop: $840/mo flat
Current model: usage-based only — cost scales with actual activity, not idle runtime.

Ad Spend

~$500/mo tracked separately as customer acquisition cost — not included in platform overhead calculations.

Service Bundles & Pricing

Four Super Bundles — each engineered to solve a specific business problem, not function as a size ladder. Live pricing is maintained in the Team Console. This section reflects current bundle structure; always reference the Team Console for up-to-date figures to avoid stale data.

Email & SMS Outreach Scripts

All outbound messaging follows a proven 3-email cadence. Cold email is CAN-SPAM compliant by design — every sequence includes sender name, physical address, and unsubscribe link. SPF/DKIM/DMARC authentication is required before any send is initiated.

1

Email #1 — Day 1

Subject: Quick question about your processing fees, {{first_name}}
Most service businesses pay 2.5–3.5% per card transaction and manually reconcile in QuickBooks. We fix both — lower fees + automatic QB sync. Worth a 15-minute call?

2

Email #2 — Day 4

Subject: The math on your processing fees
Processing $30k/month at 3% = $900/month, $10,800/year. Most clients cut that by $200–500/month within 30 days of switching.

3

Email #3 — Day 8

Subject: Last note, {{first_name}}
Don't want to keep bugging you if timing isn't right. If you ever want to review your processing fees and QB setup — 15 minutes, no obligation.

Appointment Workflows

Two appointment workflow automations — WF-APPT-001 and WF-APPT-002 — govern all booking confirmations, reminders, no-show follow-up, and post-sale review requests. These fire automatically via GHL and require no manual intervention once configured correctly.

This automated sequence ensures every lead and client touchpoint is handled consistently, reducing no-show rates and driving post-sale reviews without manual follow-up from the team.

4-Week Onboarding & Delivery Path

Every new client moves through a structured 4-week delivery path — from initial welcome through optimization. This ensures consistent quality, prevents missed configuration steps, and sets clients up for long-term retention. Pam handles automation configuration with human approval at key checkpoints.

Week 1 — Foundation

Welcome email, collect business info, create GHL subaccount, import contacts, submit merchant application, set up calendar and dedicated phone number.

Week 2 — Build

Deploy industry snapshot, configure workflows (Pam + human approval), set up sending email and SMS, build custom pipeline, configure QuickBooks integration, end-to-end test.

Week 3 — Launch

Soft launch with first 10 real contacts, monitor automation performance, enable review request workflow, conduct client training call, set up reporting dashboard.

Week 4 — Optimize

30-day check-in call, first-month metrics review, upsell opportunity assessment, workflow refinements based on client feedback and performance data.

Compliance Framework

Compliance is non-negotiable across every outbound channel and data operation. All active sequences are built to standard — nothing goes live without meeting each requirement below. When in doubt, hold and verify before activating.

TCPA — SMS Hold

All SMS sequences are in DRAFT status. Activate only after formal attorney sign-off is received and documented. Do not reference SMS outreach externally until cleared. No exceptions.

CAN-SPAM — Email Compliant

Compliant by design. Every outbound email sequence includes sender name, physical address, and a functional unsubscribe mechanism. SPF/DKIM/DMARC must be verified before any send is initiated on a new domain or mailbox.

B2B Scraping — Public Directories Only

All contacts are business entities sourced from public directories. No CCPA or FCRA-regulated personal data is accessed or stored. Contact lists are business-to-business only by design.

BounceCheck Gate — Non-Negotiable

Every lead must pass MX validation + BounceCheck before reaching Smartlead. This gate is mandatory — no exceptions — to protect sender reputation and deliverability across all active campaigns.

Key Metrics & KPI Framework

A structured review cadence is in place. Actual figures are pending — CAC, LTV, revenue projections, and funnel conversion rates will be populated once confirmed from live operating data. Do not reference previous placeholder figures. All tracking infrastructure below still requires setup before data flows reliably.

Daily

GHL stall monitor via Pam — flags stuck automations and pipeline gaps before they compound

Weekly

Pipeline volume review — new leads, open opportunities, conversion velocity

Monthly

MRR, CAC, and churn — the three core health metrics for a managed services business

Quarterly

Full funnel audit — top-to-bottom review of acquisition, onboarding, retention, and margin

Tracking Setup Still Required

GHL custom dashboard — pipeline and automation visibility in one view

Smartlead analytics — connected to weekly pipeline report

Processing residual from BSBS — tracked separately from automation MRR

Churn tracking workflow in GHL — flags at-risk accounts before they cancel
